As the National Championship Air Races prepare for another amazing year, the spirit of Roswell is set to soar to new heights. These air races, known for their incredible speed, skill, and sheer excitement, are not just about the pilots and planes. Behind the scenes, a small army of over 1000 dedicated volunteers is the real engine driving this event.
The success of the National Championship Air Races depends heavily on the selfless contributions of volunteers who give their time, energy, and expertise to ensure everything runs smoothly. With the event rapidly approaching, the call for volunteers is more crucial than ever. Whether you’re a seasoned volunteer or a first timer, your involvement is critical to making this event a soaring success.

Volunteer Code of Conduct

Purpose of Volunteer Policies
These policies are written to provide overall guidance and direction to staff and volunteers engaged in volunteer involvement and management efforts. These policies do not constitute, either implicitly or explicitly, a binding contractual or personnel agreement. National Championship Air Races reserves the exclusive right to change any of these policies at any time and to expect adherence to the changed policy. Changes to or exceptions from these policies may only be granted by the Volunteer Program Manager, and must be obtained in advance and in writing. Areas not specifically covered by these policies shall be determined by the Volunteer Program Manager.

Definition of “Volunteer”
A "volunteer" is anyone who, without compensation or expectation of compensation beyond reimbursement, performs a task at the direction of and on behalf of the National Championship Air Races. A "volunteer" must be officially accepted and enrolled by National Championship Air Races prior to performance of the task. Unless specifically stated, volunteers shall not be considered as "employees" of the National Championship Air Races.

Service at the Discretion of The National Championship Air Races
The National Championship Air Races accepts the service of all volunteers with the understanding that such service is at the sole discretion of the National Championship Air Races. Volunteers agree that the National Championship Air Races may at any time, for whatever reason, decide to terminate the volunteer's relationship with the National Championship Air Races.

The volunteer may at any time, for whatever reason, decide to sever the volunteer’s relationship with the National Championship Air Races. Notice of such a decision should be communicated as soon as possible to the volunteer’s supervisor.

Representing the National Championship Air Races
Volunteers are asked to NOT contact organizations or individuals on behalf of the National Championship Air Races unless they are given express direction to do so. Prior to any action or statement which might significantly affect or obligate the National Championship Air Races, volunteers should seek prior consultation and approval from appropriate staff. These actions may include, but are not limited to, public statements to the press, and any agreements involving contractual or other financial obligations.

Confidentiality
Volunteers are responsible for maintaining the confidentiality of all proprietary or privileged information to which they are exposed white serving as a volunteer, whether this information involves a single staff member, volunteer, client, or other person or involves overall the National Championship Air Races business. Failure to maintain confidentiality may result disciplinary action up to and including termination of the volunteer's relationship with the National Championship Air Races.

Dismissal of a Volunteer
Volunteers who do not adhere to the rules and procedures of the National Championship Air Races or who fail to satisfactorily perform their volunteer assignment are subject to dismissal. Possible grounds for dismissal may include, but are not limited to, the following: gross misconduct or insubordination, theft of property or misuse of agency materials, abuse or mistreatment of clients, staff or other volunteers, failure to abide by agency policies and procedures, failure to maintain the confidentiality of all proprietary or privileged information, and failure to satisfactorily perform assigned duties.

Consumption, possession or handling of illegal substances or showing up to work under the influence of drugs or alcohol will result in immediate and permanent dismissal.

The National Championship Air Races reserves the right to dismiss or to move a volunteer to a new location at its discretion.

VOLUNTEER UNDERSTANDING

As a volunteer for the National Championship Air Races, I will:

  1. Represent the National Championship Air Races with professionalism, dignity and pride, and be responsible for conducting myself with courtesy and appropriate behavior.
  2. Follow through and complete accepted tasks.
  3. Display respect and courtesy for National Championship Air Races employees, other volunteers, event participants, visitors, clients and property.
  4. Hold in confidence sensitive, private and personal information.
  5. Keep the appropriate The National Championship Air Races staff and/or members of the Board of Directors informed of progress, concerns and problems within the areas in which I participate.
  6. Work cooperatively as a team member with the National Championship Air Race employees and other National Championship Air Race volunteers.
  7. Keep personal opinions and actions separate from those made as a representative of this organization.
  8. Avoid conduct on duty that would jeopardize the organizations effectiveness.

And, as a National Championship Air Race volunteer, I will not:

  • Use vulgar or inappropriate language.
  • Solicit gratuities, gifts or bequests for personal or professional benefit.
  • Use or be under the influence of illegal drugs while on volunteer duty.
  • Be under the influence of alcohol white on volunteer duty.
  • Exhibit personal practices that violate the firm policy of the National Championship Air Race to prohibit discrimination in hiring, promotions, termination, or other personnel practices based upon race, gender, sexual orientation, national origin, religion, age, disability, or any protected status. Congress has also made such practices illegal by virtue of Title Vll of the Civil Rights Act of 1964, the Age Discrimination in Employment Act, Section 504 of the Rehabilitation Act of 1973, and other applicable legislation. In addition, I will not exhibit any personal practices which constitute any form of sexual harassment including unwelcome sexual advances, conditioning benefits and opportunities on sexual favors, or creating an offensive or hostile environment through sexual jokes, innuendoes, etc., or which give the appearance of sexual harassment.

All volunteers should be in full compliance with this policy. Volunteers violating our anti-discriminatory policy are subject to discipline up to and including termination where appropriate.

If any volunteer feels he or she is the victim of unlawful discrimination, the volunteer must report the situation. He or she should feel free to discuss the matter with his/her supervisor. If the circumstances are such that the volunteer would prefer to discuss this matter with someone else other than his / her immediate supervisor, the volunteer may contact the President / CEO of the National Championship Air Race. We will see that the matter will be promptly investigated and handled appropriately.

Departments and Their Brief Descriptions for Volunteers

*Announcer’s Booth Assistant:   Fast paced.  Must be able to use a radio and phone, sometime, at the same time.  Taking paperwork to the announcer, director of flight operations, timers and scorer, in a timely manner.  Make sure the booth is stocked and ready for the day’s events, every morning.  Pick up lunches for staff and other office duties.  2 people

*Anthem Singer Coordinator:  Mornings only.   Meet the anthem singers with the van driver to be driven to the staging location.  Make sure all members have a wristbands and signed releases. Escort singers to the singing area.  Upon completion, you will escort them back to the van to be returned to the parking lot.  You will work closely with the Anthem singer coordinator.  1 person, Thursday to Sunday

Audio Visual/IT:  Assist with setting up TV’s in the hospitality tents.  Set up credit card machines and computers for use during the event.  Must be available during the event.  2 people

Banner Crew:  Assist with signage and event branding across the grounds.  Pre and Post event. Individuals or groups welcome to apply.  Must not be afraid of heights.  2 to 4 people.  Week long commitment pre and post event.

*Executive Administrative Assistant:   Help with tasks assigned by the executive administrator.  Must be able to follow directions and office experience is a plus.  1 person, event week only

*Heritage Plane Set up:  Assisting the director to set up the venue, rope off planes and help tear down after the event.  Marshalling, towing, moving, parking, chocks placement and tie down airplanes.  Help with charity flights during the event.  9 people

*Hospitality Chalets: Must be able to work four or more days.  Greet guests.  Assist guests as needed.  Will assist with check in, helping to keep the hospitality tent clean and neat.  Also, any additional duties assigned by the department head.  Until all positions have been filled

Logistics:  Pre/event/post.  Help set up pre-event, assist during the event, and help tear down the event.  The director is looking for people who can commit to at least one week, either pre, during and post.  Lots of areas to help out in, special promotions and helping staff with general needs.  100 people

Lunch Coordinators:  Help with arranging daily lunch deliveries pre-event.  Will be responsible to set up, coordinate box lunch pickups along with watching the flow of lunches heading out the door.  2 people

Media Ops:  Helping local and national media with set up and provide crowd control management during the event 10 people

*Pilot Resources:  Pre and event week, early morning start, 6am.  Looking for people who have good organizational skills, are good with people, detailed orientated, must know word and excel along with general office skills.  Must be able to work in a very busy environment.  4 people

*Pylon Judge:  Full week commitment only.  Must be able to adapt to changing weather conditions.  Must be self sufficient and provide your own transportation to and from the course.  Be able to bring supplies in for the day: chair, food and drinks.  As a pylon judge you will be stationed at one of the pylons, recording in which order the aircraft passes at each lap, watch for pylon cuts and note penalties.  Must be able to work as a team.  75-100 people

Radio Room:   Will responsible for check out/checking in radios to approved personal during the event.  You will be responsible for inventory equipment, pre and post event.  Must be detailed orientated.  2 people

*RARA Assistant:  Helping out in variety for positions, jobs and locations during the races.   Possible requirements:  Must be able to walk distances, able to life 30 pounds, be able to take directions, be detailed orientated and be able to multi tasks.  2 people, full time of part time

*Ramp/Tow/Wing Walkers:   Tow drivers must have tow experience with airplanes.  Ramp and Wing Walkers, experience preferred.  Until the positions have be filled.

*Rental Car Coordinator/Assistant:   A local person who can help with arranging rental cars to be picked up at a central location.  Will be responsible to gather paperwork and keys from the rental car agency.  Stage cars and give keys out to the people who rented the cars per a list that will be provided to you.  You must have a valid Driver’s license and proof of insurance.  Must be detailed oriented and reliable.  Pre and event only.  1 person

RV Host(s): Person to help assist newcomers into the RV area.  Helping fellow RV’s with locating their location for their RV and pointing out various locations that they will need to know to help make their RV experience a welcome one.  Must be able to be onsite prior to the event and willing to stay during the event. 2 to 3 people, or a couple.

Security/Gate Control:  Must be able to work 2 or more days.   Able to follow directions.  Able to use a hand-held radio.  Willingness to challenge people in a peaceful manner.  If anyone is interested in being a Deputy Director or a Supervisor, please contact the volunteer coordinator at the information listed below, for further details.  200 to 300 people.  Groups encouraged to join.

Ticket Sales:  Must have banking or cash handling experience.  Must be able to work well with people.  Credit Card and computer experience, is require.  12 to 15 people

*Timers:  Various positions:  1.  A volunteer who is very experienced with a camera.  Must be able to work at a fast pace.  2.  Two volunteers to transcribe what the camera person is saying.  Must be very detailed orientated.  3.  A volunteer to speak clearly and effectively to the tower and scorer.  4.  Two volunteers to be spotters during each race, marking down plane positions and the number of the airplane.  Weeklong Commitment.

*Timer’s Assistant:   Assist the chief timer with various duties before, during and after the races.  Must be willing to work at a fast pace and in an efficient manner.  Office skills are a must.  1 person

*Van Shuttle Drivers:  Must have experience driving a van.  Must have a valid driver’s license and proof of current insurance.  Must be courteous and reliable.  2 people during race week

*Vendor Office Assistant:  During race week only.   Assist the Vendor/exhibitor Coordinator during race week.  Must have basic accounting and light bookkeeping experience.  1 person

Ideal Positions for Groups.

  1. Banner Crew:  Assist with signage and event branding across the grounds.  Must not be afraid of heights.  Week long commitment, pre and post event.

  2. Cooler Delivery: Help load coolers from the parking lot to be distributed to the Box Seat patrons and then return the coolers back to the parking lot in the afternoon and after the event. Must be able to routinely lift up to 50 pounds, Team Lift.  Wednesday to Sunday

  3. Merchandise Inventory: We will need people to help load/unload, count and help prepare for the merchandise inventory count.  Must be able to routinely lift 30 to 40 pounds.  4 to 6 people.  Pre and post event.

  4. Parking Lot Assistants: Guide guests to lots and parking spaces, while maintaining a smooth flow.  Mornings, Wednesday to Sunday.  Training will be provided.

  5. People Mover Drivers: We will need people to drive a tractor while pulling a trailer.  Must be able to work all of event week.  Must be courteous and reliable. Days and shifts.  Wednesday to Sunday.  Training will be provided.

  6. People Mover Conductors: Will assist the drive with watching people entering and exiting the people mover.  Will be responsible for notifying the driver when it is safe to start driving.  Days and shifts.  Must be courteous and reliable. Wednesday to Sunday.  Training will be provided.

  7. Handicap Shuttle: People to drive a handicap shuttle to pick up guests from the Handicap parking lot to event.  Must be courteous and reliable. Full time. Wednesday to Sunday.
